Administrator and Account Executive
Marketing Department
- Ad-hoc creation of proposal templates, outlines and production checklists.
- Ad-hoc preparation of quotations based on the determined proposals
- Follow up on prospective leads with daily status calls
- Assist the Director of Proposal Operations and Marketing and colleagues in all administrative functions of proposal development and marketing.
HR Administrative
- Fill in new staff joining form
- Assist in preparation of needful HR Documentation
- Monthly stationary & technical stock-take and purchase requisition
- Leave and Attendance Management in-office – all relevant documentation to be submitted weekly to the HR Manager
- HR Forms Maintenance
- Update staff database record in the Digital System (Personal Data, Bank Account, EPF Number)
- Answer incoming phone calls and handle inquiries / transfer to respective department
- Print and circulate Memos issued by HR to all Staff
- Attend and prepare weekly Minutes of Meeting
Payroll Management
- Overtime Claims for Staff – receive forms, get approvals and submit for processing
- General Claims for Staff – receive forms, get approvals and submit for processing
- Preparing supporting documents for Salary Reports
- Prepare advance salary payout and process the payment for full time and part time staff
- Manage Office Petty Cash
Recruitment and Selection
- Handle interview candidates in the office – Give and receive application forms, photocopy documents etc.
- Arrange interview appointments based on Manager’s availability
Finance Department – Accounts Maintenance and Processing
- Prepare Quotation Documents, Delivery Orders, Invoices and Payment Vouchers
- Facilitate Internet Banking
- Daily and Weekly Bank Movement Report
- Process ad-hoc payments as and when requested
- Compile all Financial Documentation and submit them to the Accountant
