  4. Job purpose: Responsible for all everyday office clerical operations

Administrative Assistant Duties and Responsibilities

  1. Receive and file incoming letters, documents.
  2. Supply and manage office equipment’s, machines or properties to office and manufactures, kitchen utilities.
  3. Schedule meeting if any.
  4. Welcome/Receive visitors relating to work.
  5. Ensure rules and procedures in place regarding working hours, lunch, office closure and communications about security.
  6. Create, control, and monitor all administrative requirements of other departments.
  7. Maintain stationary supplies and coordinating deliveries.
  8. Office management: Stationery, cleaning services, taxi card, telephone, mobile phone…
  9. Office expense: Water, electricity, logistic support for experts.
  10. Prepare invoices, reports, memos, submissions, and reports in order to determine their significance and distribute accordingly.


  • Candidate should have a Diploma in Administration.
  • Possess minimum 1 year of work experience in any commercial company.
  • Self-starter, motivated to grow with the company and is interested in training junior technicians/assembly staff.
  • Good communication skills in English.

Reporting Relationship:

  • Candidate will report to Sales Manager and Procurement Manager



  • Degree in any related fields.
  • Proven admin and/or assistant experience.
  • Proficiency in MS Office.
  • Excellent written and verbal communication skills.
  • Knowledge of office management systems and procedures.
  • Strong organizational and planning skills.
  • Attention to detail and problem solving skills?.


  • Answer and direct phone calls.
  • Arrange meetings and manage meeting room organization.
  • Order office supplies.
  • Work with IT support to ensure smooth operation of office infrastructure.
  • Assist in shipment and receiving of items.
  • Mail handling.
  • Visitor reception and escort.
  • Contractor and building management handling.
  • Develop and maintain filing system for documents and cheques.
  • Liaise and assist in travel arrangements with travel desk.
  • Demo shipments coordination.
  • Marketing material shipment coordination.
  • Marketing event onsite admin support?.
